Operation processes and procedures
Ceremonies by Lacie is committed to providing a high standard of service while adhering to The Code of Practice for Marriage celebrants. The following policies and procedures are to ensure each client’s needs and expectations are met to compose their own unique ceremony.
I will:

  • Always Maintain a high standard of service

  • Recognise the significance of marriage while complying with The Marriage Act and other legislation.

  • Provide parties information and guidance to enable them to choose or compose a ceremony that will meet their needs and expectations.

  • Be responsible for completion and lodgement of all legal paperwork

  • Maintain up-to-date knowledge and understanding of family relationship services and provide advice about marriage education.

  • Provide parties information on how to notify the Commonwealth Attorney-General’s department of any concern or complaints.


 Privacy and Confidentiality:
Ceremonies by Lacie is committed to responsible privacy practices. Respect for client’s privacy is paramount. The following policies and procedures are to ensure that all personal information is handled in accordance with the National Privacy Principles.
I will:

  • Provide an appropriate environment where clients can discuss issues in privacy and confidence.

  • Not discuss any information with a third party without explicit permission of the client/s.

  • Maintain appropriate facilities for the secure storage of personal documents and personal information

  • View confidential information on secure devices

  • Ensure the return of all personal documents belonging to the parties as soon as practicable (unless it is necessary to keep the documents for the ceremony)

  • Shred confidential documents when no longer required

 Invoicing and refunds:
The following policies and procedures set by Ceremonies by Lacie are established to maintain a clear understanding of the agreed terms and conditions between all parties. 
I will:

  • Ensure prices have no hidden costs or costs that are not accurately descriptive of the current price structure

  • Supply client/s with a descriptive and clear invoice as soon as practical

  •  A 50% non-refundable booking fee must be paid to secure the date and time of your booking. Payment of the booking fee implies acceptance of these terms.

  • The booking fee must be paid within 7 days of receipt of the invoice, or the date will be released.

  • Full payment must be finalised by 30 days prior to the wedding date or your booking may be forfeited.

  • If a wedding is cancelled at least 30 days prior to the ceremony date then the full amount minus the booking fee will be refunded to the couple. The booking fee will be held over to a new date within 12 months of the original date and a new schedule of fees may be negotiated between the couple and the celebrant.

  • If a wedding is cancelled less than 30 days before the date of the ceremony then no refund* will be applied.
     *Some discretion may be applied by the celebrant upon consideration of the individual circumstances.

  • If the celebrant is unable to conduct the ceremony, the parties will be advised as soon as practicable, and all reasonable efforts will be made by the celebrant to arrange for the ceremony to be completed by another authorised marriage celebrant. In the case where another celebrant cannot be arranged full payment will be refunded, including deposit.

  • Additional fees may occur for the following;  [Price on application]
       - Travel outside of 50km radius from Castlemaine, including but not limited to, ceremony location & rehearsal.
       - If the wet weather venue is outside of the agreed 10km radius of the original                                                 ceremony venue

  • It is agreed that the ceremony will commence within 60mins of the agreed ceremony time. If delayed outside of this timeframe, the parties will liaise with the celebrant to mutually agree on a later time and place for the celebrant to conduct the ceremony for an extra fee, payable in advance

 Document recording and storage
Ceremonies by Lacie is committed to responsible privacy practices. Respect for client’s privacy is paramount. The following policies and procedures ensure Ceremonies by Lacie undertake correct management in accordance with legislative and business regulations for recordkeeping.
I will:

  • Ensure records are protected, by such security safeguards as is reasonable, against loss, unauthorised access, use, modification or disclosure, and other misuses

  • Maintain appropriate facilities for the secure storage of personal documents and personal information

  • View confidential information on secure devices

  • Ensure the return of all personal documents belonging to the parties as soon as practicable (unless it is necessary to keep the documents for the ceremony)

  • Ensure that, if necessary for the record to be given to another person, every reasonable step is taken to prevent unauthorised use or disclosure of information contained in the record.

  • Shred confidential documents when no longer required

 

Equipment maintenance and servicing
The following policies and procedures are in place to ensure equipment’s are always in ready and reliable condition. The planning, scheduling and the execution of maintenance ensures there are no sudden and frequent breakdowns. 
I will:

  • Adhere to manufactures instructions for equipment use and maintenance 

  • Complete and store warranties 

  • Routinely inspect all equipment to ensure there has been no damage or malfunction

  • Ensure a contingency plan is in place for unforeseen circumstances 

  • Secure equipment appropriately when not in use.

  • Utilise equipment primarily for business purposes.

  • Ensure digital devices are routinely backed up and virus checked.
